Privacy Policy

Mia Documents is an internal document-search application operated by Voyage Manager Ltd on behalf of Mia IP. It is not a public service; access is restricted to authorised, signed-in members of the team.

What we store

The application indexes documents belonging to the Mia group and its related entities, together with metadata extracted from them (summaries, dates, counterparties, amounts, references, people and tags). Account information used to sign in is held in the shared Mia identity database.

Who can access it

Only authenticated users with a valid Mia account can search the archive, and each person sees only the entities and document types they have been given access to. The documents are not exposed publicly, are not sold, and are not shared with third parties except the service providers below, which process them on our behalf.

Where it runs

Data is stored in Microsoft Azure (Azure SQL Database and Azure Storage), and the application is hosted on Azure App Service. Connections are encrypted in transit.

AI questions

When you use Ask, your question and the relevant extracts from documents you have access to are sent to Anthropic's Claude API to produce the answer. Anthropic processes this data on our behalf and does not use it to train its models.

Face recognition

Face recognition is off unless an administrator switches it on for the library. When it is on, the library's own processor (in our Azure account — no outside service) finds faces in photos and videos and keeps, for each face, a small cropped picture and a numerical "fingerprint" used to suggest who it is. That fingerprint is biometric data. Suggestions are only ever confirmed by a person. Switching the feature off stops it, and an administrator can delete all face data at any time; to have face data about you removed, contact us at the address below.

The Mia Documents phone app

The iPhone and Android app uses the same Mia account and the same access rules as this website.

• Sign-in: your email and password are sent only to Mia Documents to sign you in. The app then keeps a sign-in token in the phone's secure storage (iOS Keychain / Android Keystore) so you stay signed in; signing out removes it.
• Camera, microphone and photos: used only when you choose to take a photo or video, or pick files, to upload. Those files are uploaded to the Mia Documents archive in Azure Storage, where they are processed and indexed like any other document.
• Downloads: documents and photos you open are downloaded to the app's private cache on the phone so they can be viewed or shared.
• No tracking: the app contains no advertising, analytics or tracking, and does not access your location or contacts.
